Document Controller - Sunbury

My client, a high profile oil & gas company, is looking for a Document Controller to join their team in Sunbury.

Deliverables:

· Execute the information management plan for the programme
· Work with stakeholders across the business to identify and accommodate their information requirements by setting and maintaining appropriate controls across the programme SharePoint environment
· Maintain deliverables entries in the online (SharePoint) dictionary for each workstream
· Conduct routine maintenance of all libraries across the SharePoint environment to ensure compliance with the information management plan
· Ensure key deliverables are in SharePoint and file names follow the convention set out in the information management plan
· Ensure key deliverables are kept under change control and versioned
· Organise all workstream folders/library structures in SharePoint to reflect key deliverables
· Coordinate the review and approval of deliverables, assuring that all deliverables requiring review and formal approval are submitted to their respective reviewers / approvers and versioned / updated accordingly
· Manage the archiving of all documentation as required
· Ensure all deliverables are documented using the appropriate template where applicable
· Raise change requests in the programme’s change log to create new deliverable versions and submit these to the required stakeholders for assessment and approval
· Ensure any changes to the programme’s integrated plan are reflected in work-package codes are the work-breakdown structure dictionary by liaising with the Programme Planner
· Work with the Communications team to make content changes to the intranet site (using SharePoint), including news articles, frequently asked questions, discussion groups etc
· Proactively identify opportunities to enhance the entire SharePoint environment (team site and intranet site) to drive improvements in user experience, simplicity of navigation, availability of information, look and feel, etc
· Provide reports on site usage, compliance to information management standards, etc as required.


Experience & Knowledge:

· Extensive experience working in in a Document Controller or similar role.
· Extensive experience using SharePoint 2010.
· Knowledge of best practice for document and information management control (storage, versioning, naming etc).
· Proven experience in completing strategic reviews and reports, and developing solutions that have then been implemented and successfully provided business benefit.
· Experience working with technical and non-technical teams across a broad range of disciplines and geographies.

Skills/Behaviours:
